1. Information We Collect

We apply a strict data minimization policy. To process your translation orders, we only collect:

• → Source Documents: Digital copies of the original documents you upload for translation.
• → Service Information: Your full name, email address, and order details necessary to provide quotes, perform the service, and deliver the final files.

2. How We Use Your Information

We operate strictly as a certified translation agency. Your information is used exclusively to translate your documents, certify them according to the standards of UK Visas and Immigration (UKVI) and other official UK authorities, and securely deliver the finalized digital (and optional physical) copies to you.

3. Data Sharing & International Transfers

We never sell or rent your personal information. To technically and operationally fulfill the translation service you requested, your personal data may be transferred outside the UK and shared only with the following parties:

• → Global Linguist Network: Your documents are shared securely with professional, vetted linguists acting on behalf of MKG Labs Ltd. All linguists are bound by strict Non-Disclosure Agreements (NDAs).
• → Payment Processors: Your name and order details (excluding full credit card numbers) are shared with Stripe, our global PCI-DSS compliant payment processing partner.
• → Cloud & Security Infrastructure: Our client portal and database are hosted on highly secure, GDPR-compliant servers to ensure operational integrity and data protection.

4. Data Retention, Security & Hosting

To ensure the highest level of data security and adhere to ICO guidelines, we do not accept sensitive personal documents via unmonitored consumer channels such as WhatsApp, Telegram, or standard email attachments. All document transmissions must be conducted exclusively through our secure client portal.

Following the data minimization principles of the UK GDPR, we retain your personal data only for as long as necessary to fulfill the translation service. Once your order is completed and the 7-day revision period expires, the original files and translated documents are automatically and permanently deleted from our active processing servers within a maximum of 30 days.

• → Legal Retention Exception: Although document files are destroyed within 30 days, we are legally required to retain the "Declarations of Accuracy" and core transaction logs in a secure archive for a period of 6 years (the statutory limitation period) to defend against potential legal claims and prove compliance with UK law.

5. Your Rights Under UK GDPR

Under the UK General Data Protection Regulation (UK GDPR), you have the right to request access to, correction of, or erasure of your personal data. You also have the right to object to processing, request data portability, and withdraw consent at any time. To exercise any of these rights, please contact us at the address provided below. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) if you believe we have mishandled your data.
